Policies, Guest Agreement & Liability Waiver**

Please review the following policies carefully. By booking with Coastal Mountain Adventures (“CMA”), guests acknowledge and agree to all terms listed below. These policies ensure safety, clarity, and a high-quality experience for everyone.

1. GENERAL TERMS


Tours are operated and guided by Coastal Mountain Adventures, based in Victoria, BC.

  1. All tours are weather-dependent and may be adjusted for safety.

  2. Guests must follow all guidance provided by the guide at all times.

  3. CMA reserves the right to refuse participation to any guest whose behavior compromises safety.

2. SAFETY ACKNOWLEDGMENT

By booking a tour, guests understand that outdoor activities involve inherent risks, including but not limited to:

  • Uneven, slippery, or unstable terrain

  • Changing weather

  • Wildlife encounters

  • Vehicle transportation

  • Rocks, roots, driftwood, and natural hazards

  • Falling, tripping, or minor injury risks in outdoor spaces

CMA prioritizes safety but cannot remove all risks inherent to natural environments.

Guests agree to:

  • Wear appropriate footwear

  • Bring clothing suitable for changing weather

  • Stay within sight of the guide

  • Report any discomfort or safety concerns immediately

3. FOOD POLICY

CMA provides complimentary lunches valued up to $20 per guest, sourced exclusively from licensed local food providers.

No food is prepared by Coastal Mountain Adventures.
This ensures compliance with BC food safety regulations.

Food allergies and dietary needs must be communicated at least 48 hours before the tour so CMA can arrange options with partner vendors.

Guests are responsible for managing severe allergies (epi-pens, personal medical needs, etc.).

4. WEATHER POLICY

Tours operate rain or shine. Vancouver Island’s coastal weather is diverse and often part of the experience.

Tours may be delayed, altered, or cancelled if conditions are unsafe due to:

  • High winds

  • Flooding or trail washouts

  • Extreme visibility hazards

  • Emergency closures

If CMA cancels due to safety, guests receive a full refund or free rescheduling.

5. CANCELLATION POLICY

Free cancellation up to 48 hours before the tour.

  • Cancellations within 48 hours are non-refundable.

  • No-shows are non-refundable.

  • If Coastal Mountain Adventures must cancel due to weather, safety concerns, or unforeseen circumstances, guests will receive a full refund or the option to reschedule.

6. PHOTOGRAPHY POLICY

Coastal Mountain Adventures may take photographs or video during tours for guests memories, social media, website content, and marketing purposes.

Guests will be informed at the start of the tour and may opt out of appearing in photographs or video at any time.

Personal photography is welcome, provided it does not interfere with safety or the experience of other guests.

7. HEALTH & PHYSICAL REQUIREMENTS

Guests must disclose any medical or mobility considerations at the time of booking so appropriate routes can be selected.

CMA cannot accommodate conditions that present unsafe risk on uneven terrain.

Guests should be capable of:

  • Walking on natural surfaces

  • Navigating minor inclines

  • Being outdoors for several hours

8. LIABILITY WAIVER & ASSUMPTION OF RISK AGREEMENT

By booking a tour with CMA, guests acknowledge:

  • Outdoor experiences involve inherent risks beyond CMA’s control

  • CMA is not liable for injuries resulting from natural conditions, terrain, wildlife, unforeseen weather, or personal choices

  • Guests participate voluntarily and assume full responsibility for personal safety

  • CMA is released from all claims, actions, or demands resulting from participation

Guests agree to follow all instructions from the guide to minimize risk.

9. INDIGENOUS LAND ACKNOWLEDGMENT

Coastal Mountain Adventures respectfully acknowledges that our tours take place on the traditional territories of Coast Salish, Pacheedaht, T’Sou-ke, and other Indigenous nations who have stewarded these lands since time immemorial.

10. AGREEMENT OF TERMS

Booking a tour constitutes agreement to:

✔ CMA’s liability waiver
✔ Safety expectations
✔ Food-handling limitations
✔ Cancellation and refund terms
✔ Photography permissions (opt-in only when asked)

Guests will also complete a brief digital waiver form before participating.

Waiver & Guest Agreement

All participants must complete and sign our digital Participant Waiver & Release of Liability prior to joining any tour with Coastal Mountain Adventures.
Guests will not be permitted to participate without a completed waiver.
