Policies, Guest Agreement & Liability Waiver**

Please review the following policies carefully. By booking with Coastal Mountain Adventures (“CMA”), guests acknowledge and agree to all terms listed below. These policies ensure safety, clarity, and a high-quality experience for everyone.

🌲 Coastal Mountain Adventures

Tours are operated and guided by Coastal Mountain Adventures, based in Victoria, BC.

  1. All tours are weather-dependent and may be adjusted for safety.

  2. Guests must follow all guidance provided by the guide at all times.

  3. CMA reserves the right to refuse participation to any guest whose behavior compromises safety.

2. SAFETY ACKNOWLEDGMENT

By booking and participating in an adventure with Coastal Mountain Adventures (CMA), guests acknowledge that hiking and outdoor activities involve inherent risks that cannot be completely eliminated, even when reasonable safety precautions are taken.

These risks may include

  • Rocky, uneven, steep, slippery, loose, or unstable terrain

  • Rocks, roots, branches, driftwood, fallen trees, and other natural obstacles

  • Slips, trips, falls, loss of footing, and related injuries

  • Wet or muddy trails and changing trail conditions

  • Steep inclines and declines

  • Changing or severe weather conditions

  • Wildlife encounters

  • Falling branches, rocks, or other natural hazards

  • Remote locations where emergency assistance may be delayed

  • Vehicle transportation, where included

  • Other hazards inherent to outdoor and wilderness environments

CMA takes reasonable precautions to promote guest safety but cannot eliminate or control all risks associated with natural environments.

Guests are responsible for following guide instructions, remaining with the group, wearing appropriate footwear and clothing, using provided or required safety equipment appropriately, and immediately reporting injuries, illness, fatigue, discomfort, hazards, or other safety concerns.

Guests must not proceed beyond their abilities or disregard guide instructions. CMA reserves the right to modify, suspend, or end a guest’s participation where continued participation may present an unreasonable safety risk.

3. FOOD POLICY

With each full paid admission, guests receive a $20 gift certificate to a participating local food establishment to enjoy after their adventure.

Coastal Mountain Adventures does not prepare or serve food as part of the guided tour. Gift certificates are provided for independently operated local food establishments, and any food purchased is supplied directly by that establishment.

Guests are responsible for communicating any food allergies or dietary requirements directly to the participating food establishment when ordering.

Gift certificates are provided only with full paid admissions and have no cash value through Coastal Mountain Adventures.

4. WEATHER POLICY

Tours operate rain or shine. Vancouver Island’s coastal weather is diverse and changing conditions are often part of the experience.

Guests should arrive prepared for the forecast and appropriate seasonal conditions, including rain, wind, wet or clippery terrain, temperature changes, and reduced visibility.

Tours may be delayed, altered , rerouted, shortened, or cancelled when Coastal Mountain Adventures determines conditions may be unsafe due to:

  • High winds

  • Severe weather

  • Flooding or trail washouts

  • Extreme or reduced visibility

  • Wildfire or hazardous air-quality conditions

  • Unsafe trail conditions

  • Emergency, park, or trail closures

  • Other environmental conditions that may present an unreasonable safety risk

    Safety decisions regarding weather and trail conditions are made by Coastal Mountain Adventures and may occur before departure or during adventure as conditions change.

5. CANCELLATION POLICY

Free cancellation up to 48 hours before the tour.

  • Cancellations within 48 hours are non-refundable.

  • No-shows are non-refundable.

  • If Coastal Mountain Adventures must cancel due to weather, safety concerns, or unforeseen circumstances, guests will receive a full refund or the option to reschedule.

6. PHOTOGRAPHY POLICY

Coastal Mountain Adventures may take photographs or video during tours for guests memories, social media, website content, and marketing purposes.

Guests will be informed at the start of the tour and may opt out of appearing in photographs or video at any time.

Personal photography is welcome, provided it does not interfere with safety or the experience of other guests.

7. HEALTH & PHYSICAL REQUIREMENTS

Guests must disclose any relevant medical, mobility, injury or physical considerations at the time of booking so route suitability can be assessed.

Coastal Mountain Adventures operates on natural terrain that may include rocky and uneven ground, exposed roots, loose rock or gravel, mud, wet or slippery surfaces, steep inclines and declines, narrow trails, fallen trees, and other naturally occurring obstacles. Conditions may change due to weather and other environmental factors.

Guests should be physically capable of :

  • Walking or hiking for several hours on uneven natural terrain

  • Navigating rocks, roots, inclines, declines, and trail obstacles

  • Maintaining balance and secure footing on variable surfaces

  • Completing the advertised distance and duration of the selected adventure

    CMA may modify a route, recommend an alternative adventure, or decline participation where a guest’s condition, preparedness, equipment, or physical ability presents an unreasonable safety risk to themselves, staff, or others.

8. LIABILITY WAIVER & ASSUMPTION OF RISK AGREEMENT

By booking a tour with CMA, guests acknowledge:

  • Outdoor experiences involve inherent risks beyond CMA’s control

  • CMA is not liable for injuries resulting from natural conditions, terrain, wildlife, unforeseen weather, or personal choices

  • Guests participate voluntarily and assume full responsibility for personal safety

  • CMA is released from all claims, actions, or demands resulting from participation

Guests agree to follow all instructions from the guide to minimize risk.

9. INDIGENOUS LAND ACKNOWLEDGMENT

Coastal Mountain Adventures respectfully acknowledges that our tours take place on the traditional territories of Coast Salish, Pacheedaht, T’Sou-ke, and other Indigenous nations who have stewarded these lands since time immemorial.

10. AGREEMENT OF TERMS

Booking and participating in a tour constitutes acknowledgement of:

✔ Food and gift certificate terms
✔ Cancellation and refund terms
✔ Safety & Documentation Recording Policy
✔ Separate consent for promotional use of photos/video

Safety & Documentation Recording
Coastal Mountain Adventures staff may wear or use GoPro/body-worn or other cameras during guided adventures for safety, incident documentation, insurance-related purposes, and operational transparency. Recording may therefore occur during an adventure regardless of whether a guest consents to promotional use.

Marketing & Social Media
Guests may choose whether identifiable photos or video of them may be used for social media, advertising, website content, or other promotional purposes. Declining promotional consent does not prevent participation in the tour. Footage recorded for safety or documentation purposes will not be used for promotional purposes where a guest has declined such consent.

Guests must also complete the required digital waiver and guest agreement before participating.

Waiver & Guest Agreement

All participants are required to review and accept the Participant Waiver, Release of Liability and Risk Acknowledgement during the booking process.

The required acknowledgement is included directly within checkout and must be accepted before a booking can be completed.
